Student Affairs deputy is one of the three deputies defined in the organizational structure of the university, which is responsible for advancing the process of inviting students, coaching the groundwork for improving students’ capacity, sustaining and strengthening the relationship between the university and students, preserving students’ documents, issuing and administrating official processes of their academic documents.

Student Affairs deputy of the University, considering its competence and responsibility, will strive to provide effective services for students and take effective steps in line with the university’s general policies and realizing the slogan of “Commitment and Expertise”.

Sub-offices under the management of student affairs deputy are as follows:

  • Directorate of Students’ Affairs;
  • Directorate of Alumni Affairs;
  • Applied Training Center Management;
  • Directorate of Exam;

Deputy of Students’ Affairs of the University was established in order to set order and guaranty the efficiency, as well as to fulfill the necessity of founding a bureau responsible to solve students’ problems.

The Deputy is Mr. Mohammad Hadi Pooya, who has made his bachelor’s degree in business economics and M. A’s degree in economic sciences with Islamic Economics majority; He is Cadre Member of Economics Faculty of Khatam-ul-Nabiyin University (PBUH), Ghazni Branch too.

He has nearly a decade of experience working in various departments of Khatam-ul-Nabiyin University. His responsibilities in the university were as follows:

  • Member of Law Faculty proficient;
  • Director of the Master’s Board of the University;
  • Head of the university’s dean’s office;
  • Administrative-Finance Deputy of Khatam-ul-Nabiyin Jaghouri Institute of Higher Education;
  • Director of Accreditation Officer and Quality Assurance of Khatam-u-Nabiyin University, Ghazni Branch;
  • Director of university’s Planning;
  • University’s Deputy of Students’ Affairs, Ghazni Branch;

The deputy as the following duties:

  • Preparing the draft of policies concerning the students;
  • Supervising the implementation of matters concern to distribution of certificates, preparing reports, conducting exams, exam results and the distribution of student identity cards;
  • Monitoring the files status of students who are studying and who are graduated, preparing the annual report and emending the deficiencies;
  • In order to ensure transparency, supervising matters of postponement (break for a semester), conversion of the university, accepting and approving a student as a guest student in the university;
  • Preparing academic calendar of the university;
  • Founding committee of prominent students and providing comprehensive support for them;
  • Supervising students’ transcript table, their graduation and admission table;
  • Instituting and supervising admission exam (Concore) committee, semester wise exam committee and other subordinate offices;
  • Checking student-evaluation chart of lecturers, the university and other branches;
  • Evaluation of implemented programs and their feedback, identifying their strengths and weaknesses and using them to improve future plans;
  • Documentation of executed programs by writing, filming and taking pictures and archiving them;
  • Preparing periodic and annual report of the activities and programs, presenting them to the dean of university and other competent authorities;
  • Other duties instructed by the dean of university.

This directorate should program all mid-term, final and Admission (Concore) exams, receive the question and answer paper from lecturers and archive them.

Directorate of Students’ Affairs is a sub-office of students’ affairs deputy in organizational structure of Khatam-ul-Nabiyin University. This Division considers ‘providing best educational services’ as its main responsible and provides best educational services for students during their educational years. Along with establishment of Khatam University in Ghazni, directorate of students’ affairs started its work in accordance with the university’s organizational structure and held its first academic Admission exam (Concore) in 2012. After ten years of efforts, with the help of God and support of officials, the directorate has been able to introduce the students to the faculties each academic year by holding Concore exam; and since the academic year of 2015, thousand of students have been graduated in seven stages in the fields of law and political science, economics and medicine in bachelor’s degree. The university has been able to serve average of 3000 students in every periodic academic year, since 2012.

This Directorate tries to serve the students with the best management system and become one of the best and most active section at the university level.

Mission:

The directorate’s mission is to operate in line with the policies of the university in accordance with the rules of the Afghan Ministry of Higher Education in resolving students’ problems, performing administrative affairs of students, by taking maximum advantage of resources and the least time.

Duties and activities:

  • The directorate beside supervising educational affairs, carries out the following activities:
  • Registering and performing administrative-educational process of new student’s passed and admitted from Concore Exam according to the rules and regulations;
  • Setting and completing all new admitted students’ files in both university and institute of health Sciences section;
  • Setting up students’ classification according to their majority according to their admitted academic year with coordination of planning unit;
  • Assigning Student Code and issuing student Card for all students;
  • Announcement of Class and Credit selection time at the beginning of each semester and performing its administrative process;
  • Determining required time for the deletion or selection of additional credit units, each semester;
  • Setting class registration paper for all classes checking and solving its problems;
  • Sending a copy of students’ file to the relevant faculty;
  • Receiving educational curriculum program of every faculty, every semester and registering it in database;
  • Announcing educational calendar for every semester;
  • Supervising educational status of students, checking class presence registering, preparing monthly to be submitted to Examination Committee;
  • Preparing Academic Status Report of Students to the faculty, distinguished in passed, conditional pass, failure, resigned and dismissed;
  • Assigning the student to pass only one subject under the supervision of the relevant faculty and to register the obtained mark;
  • Collaborate with faculties to organize and hold exceptional educational and entertainment programs;
  • Arranging final, annual and half-year academic students’ result cards based on the report of examination section and presenting it to the students;
  • Cooperation and introduction of graduate students to the Graduate Affairs section;
  • Taking necessary measures to issuance any educational approval letter for students introduced by Student Affairs deputy;
