Alumni Directorate is one of the key departments in any higher education centers. Since this directorate is constantly in communication with the graduates and is responsible to verify and conform their graduation process, create a uniform graduation system, monitor implementation of graduation procedures, carrying out their rights and to verify their documents, has fundamental importance in any educational center. Another aspect of this directorate’s importance is that, this directorate is the mean of communication between university graduates with other universities inside and outside the country, the government and private centers to verify their educational document, endorsements and other necessary letters, in order to approve their graduation, employment and studying processes.

Graduates Directorate is one of the key departments in any higher education centers. Since this directorate is constantly in communication with the graduates and is responsible to verify and conform their graduation process, create a uniform graduation system, monitor implementation of graduation procedures, carrying out their rights and to verify their documents, has fundamental importance in any educational center. Another aspect of this directorate’s importance is that, this directorate is the mean of communication between university graduates with other universities inside and outside the country, the government and private centers to verify their educational document, endorsements and other necessary letters, in order to approve their graduation, employment and studying processes.

This directorate was established in 2015, working along with university proceeding graduate affairs. This directorate is under the supervision of student affairs deputy and includes the director and, if necessary, some administrative office colleagues. In addition, the management of archive and alumni associations are also included in the structure of this department. The directorate is the trustee of all graduates who studied hard and all values ​​that the lecturers’ have taught over the years.

Processing a set of specific and practical administrative documents such as irresponsibility graduation forms, applying for graduation process, monograph, issuance of main documents, etc. are the responsibility of this directorate. Issuing the main Graduation Documents is the responsibility of this directorate which is processed with coordination of university representative and approval by the Ministry of Higher Education. The document will be submitted to the relevant student after official processes are completed.

The goals and plans are summarized as follows:

  1. Expediting the issuance of graduates’ documents in the shortest possible time;
  2. Mechanization of system;
  3. Minimizing certificates issuing costs and maximizing facilities for graduates;
  4. Organizing the Alumni Council;
  5. stabilizing communication with graduates through representatives, holding meetings and graduates’ electronic channels;
  6. obtaining and confirming and distributing government diplomas for all graduates;
  7. Introducing and registering graduates to educational organizations and prominent national and international institutions, as:
  8. Attempting to register and introduce medical graduates in the international institute of ” World Directory of Medical School” or
  9. Registration and introduction of economics graduates for internships at the Chamber of Industries and Mines of the country.
  10. Introduction of law graduates to liable (law clinics) in the country.

Creating a comprehensive and integrated graduate system for entire university.

  • Setting graduation file for students who have successfully completed their course units, with introduction of Student Affairs Department;
  • checking graduation documents, including controlling transcripts, registration process and documents, checking submitted documents and graduation status received from the students’ affairs;
  • taking necessary measures for complete checking students’ detail check-out from relevant departments, before issuing certificates;
  • Issuing temporary certificate of course completion, passing official process to be approved by the Ministry of Education, in coordination with Student Affairs deputy;
  • Carrying out academic degrees matters, sending necessary documents to the Ministry of Higher Education for approval, granting certificates and transcripts to the graduates;
  • Planning and preparing graduation party;
  • Setting communication with alumni and creating alumni associations;
  • Preparing analytical statistics of graduates.

University of Khatam-ul-Nabiyin, Ghazni branch has acquired significant achievements during its ten years of activity in this province. It has been able to deliver active and creative workforce to the society, and we can point to some of Directorate of Graduates achievements as follows:

  • Six-time graduation of students from four fields of study at the bachelor’s level;
  • Creating a regular archive and setting a graduation file;
  • Creating electronic communication channels for greater, better, faster, cheaper, and more effective communication for graduates, male and female separately;
  • Introducing graduates to foreign universities for internships and studing at higher levels of education;

  • Holding six graduation ceremonies.
  • Establishing graduation file for students who have successfully completed their course units by introducing of student affairs department;
  • Assessing graduation documents, including transcripts and registration documents control, examining documents and official graduation processing letters submitted by student affairs;
  • Enhancing necessary measures for complete checkout of students with the university introduced by the relevant departments before issuance of graduation certificates;
  • Issuing temporary certificate of education completion and its approval by the Ministry of Education in coordination with Student Affairs deputy;
  • Carrying out matters of issuing academic degrees, sending them to the Ministry of Higher Education for approval and problems of granting certificates and transcripts to university graduates;
  • Planning, preparing and holding graduation party;
  • Setting prolong communication with graduates and establishing alumni associations;
  • Preparing analytical statistics of graduates.
  • Accomplishment of some accidental duties and orders;

This duties bill was approved in the session No. 4, dated 25/04/2018 in 8 acts by the educational council of the university, which is valid after approval of the Dean of the university.
